1. Introduction
This Privacy Policy describes how OPTANIUM IT Services Pvt. Ltd. (“OPTANIUM”, “we”, “us”, or “our”) collects, processes, stores, and protects data when users access and use the cleanli application (“App”).
The App is designed to collect presence information and cleaning evidence for the legally compliant verification and documentation of cleaning and facility services.
To provide this functionality, the App collects proximity and location-related information during active use of the App and, where permitted by the operating system and user permissions, in the background when the App is not actively being used.
The collected information is used solely to verify that a mobile device was physically located near a registered Beacon, ePaper device, or NFC tag at a specific point in time.

3. Categories of Data Processed
3.1 Presence Information (Bluetooth Low Energy)
The App may collect the following proximity information:
- Date and time of detection
- Signal strength (RSSI)
- Identifier of nearby Beacon devices
- Identifier of nearby ePaper devices
This information is required to document the presence of a mobile device near a registered location marker and to provide legally compliant proof of cleaning activities.
3.2 NFC Scan Information
When NFC tags are used, the App may collect:
- Date and time of scan
- Identifier of the NFC tag
- Photographs captured by the user (optional)
Photographs are used solely as evidence of completed cleaning services.
The App does not record which individual person was using the device at the time of the cleaning activity.
3.3 Organization Master Data
The App may store and process:
- Lists of purchased or rented Beacon identifiers
- Lists of purchased or rented ePaper device identifiers
- Lists of NFC tag identifiers
- Mobile device identifiers
- Installed App version
- Technical device information required for operation
This information is required for system administration and service operation.
3.4 Configuration Data
The App may store the following configuration settings:
- Use of Beacons
- Use of ePaper devices
- Use of NFC tags
- Offline mode settings
- Bluetooth sensitivity settings
- Continuous cleaning duration settings
These settings are used solely to configure the operation of the App.
4. Purpose of Processing
Data is processed exclusively for the following purposes:
- Verification of cleaning activities
- Documentation of facility services
- Creation of legally compliant service records
- Management of Beacons, ePaper devices, and NFC tags
- Operation of cleaning workflows
- Technical support and troubleshooting
- Compliance with contractual and legal obligations
5. Location and Background Processing
The primary purpose of cleanli is to provide legally compliant proof that cleaning activities have been performed at specific locations.
To achieve this purpose, the App must detect nearby Beacons, ePaper devices, and NFC checkpoints, including when the App is running in the background. Background location access is therefore a core and essential feature of the service and cannot be replaced by a less intrusive technical method.
The App requires Bluetooth and location permissions because modern mobile operating systems, including Android and iOS, require location-related permissions in order to detect nearby Bluetooth Low Energy (BLE) devices.
The App may collect proximity information:
- While the App is actively being used
- While the App is running in the background
- During periods in which cleaning activities are being documented
The collected information is used exclusively to verify that a mobile device was present near registered cleaning checkpoints.
The App does not:
- Track a user’s movements outside of cleaning-related locations
- Create movement profiles
- Monitor employee behavior
- Use location data for advertising purposes
- Sell location information
- Share location information with third parties
The App records only the proximity of a device to registered Beacons, ePaper devices, and NFC checkpoints for the purpose of documenting cleaning activities.
5.1 Background Location Usage
The cleanli App uses Bluetooth Low Energy (BLE) technology to verify the presence of a mobile device near registered Beacons, ePaper devices, and NFC checkpoints used for cleaning documentation.
Android and certain other mobile operating systems require location permissions, including background location access, in order to detect nearby BLE devices when the App is not actively open.
Background location access is used exclusively for the following purposes:
- Verification of cleaning activities
- Automatic detection of nearby Beacons and ePaper devices
- Creation of legally compliant cleaning records
- Reduction of manual user interaction during cleaning workflows
- Prevention of missed cleaning confirmations
The App does not:
- Track the user’s movements outside of cleaning-related locations
- Create movement profiles
- Monitor employee behavior
- Share location data with third parties
- Use location data for advertising or marketing purposes
Users may disable location permissions at any time through their device settings. However, certain functionality of the App may no longer operate correctly if location permissions are disabled.
